Vancouver BC, Canada Vancouver Division of Family Practice Full time

Project Manager

Organization : Vancouver Division of Family Practice (Vancouver, BC)

Level Description:  Manager-level position

Position Type : Full-time 40hrs/week

Career Level : Mid-level experience

The Vancouver Division of Family Practice is a not-for-profit society funded by the Government of British Columbia and Doctors of BC, and works in partnership with Vancouver Coastal Health, British Columbia Ministry of Health, Providence Health Care, and other community organizations. Our mission is to improve the primary care system in Vancouver for the benefit of our members and Vancouver patients.

The Division is seeking an experienced Project Manager to join our Seniors Strategy Team. The ideal candidate will lead and coordinate a series of systems change projects to support primary care providers in the City of Vancouver and improve care for our seniors population living across care settings. This is an exciting opportunity for an experienced project manager looking to make an impact in primary health care.

Duties & Responsibilities:

  • Community/stakeholder collaboration and engagement:
  • Facilitates and Manages Consultation Process: Leads the planning and execution of stakeholder engagement activities, including meetings, focus groups, and surveys to gather input and feedback.
  • Supports Relationships with Practitioners: Cultivates and maintains positive relationships with primary care providers and practitioners involved in the seniors' care network.
  • Conducts comprehensive analyses of resources, timelines, and potential challenges to assess project feasibility, while also employing forecasting techniques to anticipate sustainability, growth and impact.
  • Develops comprehensive project plans that outline objectives, deliverables, milestones, timelines, and budgets to ensure the appropriate allocation of resources and funds for project activities.
  • Identifies project risks, develops risk mitigation strategies, and regularly reviews/updates risk management plans to address evolving project dynamics.
  • Establishes evaluation frameworks, conducts data analysis for insights, and prepares comprehensive project reports to communicate outcomes and updates effectively to stakeholders and senior management.
  • Collaborates closely with the Director of Special Projects to align project objectives with organizational goals and strategies.
  • Manages project implementations through roll-out monitoring project expenditures and resource utilization against the approved budget.
  • Plans and coordinates project-related events, roundtables, workshops, and forums aimed at ongoing stakeholder engagement.
  • Adheres to data protection regulations and organizational policies while managing confidential project information.
  • Flexibly supports colleagues and other division teams to achieve collective objectives and organizational success.

Organizational Status and Supervision:

This position works under the direct supervision of the Director of Special Projects. Given the collaborative nature in which the Division operates, this role is an integral team player for the entire organization's staff compliment, as well as with key external partners. Some specific initiatives may involve guidance from other Division staff, contractors, or physician members. The incumbent will be a natural team player, but will often work independently and with initiative, with regular check-ins with their supervisor to set direction. In most circumstances, the incumbent will not be required to supervise staff or colleagues.

Qualifications/Skills:

  • Minimum bachelor’s degree in health sciences, business administration, or a related field.
  • 3-5 years minimum related experience specifically including project management experience, ideally within healthcare, particularly in primary care.
  • Strong understanding of quality improvement methodologies and their application in healthcare settings
  • Exceptional written and verbal communication abilities.
  • Strong organizational and time-management skills, consistently meeting weekly and monthly deadlines.
  • Highly detail-oriented
  • Must have advanced knowledge of MS Office (specifically advanced Excel skills i.e., creating charts, pivot tables, writing formulas, conducting data analysis, etc.)
  • Flexibility to adjust to a dynamic work environment and willingness to work flexible hours, including evenings as required
  • Strong interpersonal skills with the capacity to work alone or in a team as needed
  • Demonstrates proactive, helpful, and can-do attitude.

We aim to foster a division of family practice that celebrates and reflects the diversity of the communities we serve. It takes diversity of thought, culture, background, and perspective to create meaningful change in primary care. The Vancouver Division is committed to promoting equity, diversity and inclusion in our recruitment process where all applicants are considered regardless of race, colour, ancestry, place of origin, religion, family status, disability, sex, age, sexual orientation, gender identity and other protected grounds.
