As a Proposal Coordinator, you will play a key role in shaping and supporting the proposal team’s goal of producing winning submissions. You will be responsible for the administrative aspects of proposal development—from managing the SharePoint site to coordinating proposal inputs/reviews and leading and supporting proposal pursuits. This fosters the spirit of inclusion and opens the opportunity for diverse perspectives to impact and shape our delivery model and grow the culture of our company.Here's what you’ll be doing at Kasian:In partnership with the Proposal Specialist and Proposal Champion, lead the proposal preparation and submission for small and medium-scale pursuits.Support the Proposal Specialist in coordinating the proposal kick-off meeting as well as scheduling and facilitating ongoing proposal coordination meetings.Develop a proposal outline, draft standard proposal sections, format, assemble and submit documents.Facilitate reviews and ensure RFP compliance, by providing an additional layer of quality control.Coordinate and insert technical content, update/customize CVs, personnel bios, project descriptions, and other proposal information.Assist with managing, monitoring, and maintaining the proposal database, files, and systems through appropriate information management systems (i.e., SharePoint).Communicate with proposal participants to track tasks against the schedule to ensure internal proposal deadlines are being met.Reach out to external consultants to gather required content.Support clarifications and post-bid submission requirements.Support the Marketing and Business Development Manager on strategic pursuits.Assist with shortlist interview presentation deck design and compliance with visual identity standards.Develop and maintain support material libraries: CVs, project sheets, images, testimonials, etc.Assist with other proposal-related duties as assigned.Here’s what you bring to Kasian:Minimum 2 years of proposal management experience (experience in architecture and/or interior design is advantageous).Strong written communication and design fundamentals. This will include a high level of proficiency in Adobe Creative Suite as well as Microsoft Office including Word, Excel, and PowerPoint.Being a natural self-starter with the ability to prioritize, self-schedule, meet tight deadlines and work with colleagues from various departments, market sectors, and locations.A Degree or Diploma in Marketing, Communications, or Design is an asset but not a requirement.Prior experience in the architectural and/or interior design, engineering, or construction (AEC) field is preferred, professional services experience is an asset.This opportunity is an exceptional career fit for a candidate with long-term ambitions to contribute to one of Canada’s top architectural practices.
