About the Role We’re looking for a sharp, resourceful Office & Operations Coordinator to support our daily operations and growth initiatives. You’ll work directly with our founder and sales team to manage billing, partnerships, reporting, and internal systems — ensuring everything runs smoothly behind the scenes. This is a hands-on role where you’ll help build the processes that power our company. What You’ll Do Billing & Administration Generate and process client invoices and payments through our billing system (APG) Track receivables, reconcile data, and maintain payment records with accuracy Coordinate with our Admin VA for invoice and tracker updates Operations & Systems Build, document, and update SOPs (step-by-step guides, checklists, templates) Maintain CRM cleanliness, deal trackers, and reporting dashboards Assist with day-to-day coordination between sales, admin, and leadership Partnerships Manage and expand our referral/partner program Onboard new partners and track deal submissions, payouts, and results Maintain ongoing communication with active partners Reporting & Projects Prepare weekly and monthly reports (funding totals, renewals, revenue metrics) Oversee monthly renewal tracker submissions to lenders Support recruitment efforts (screen applicants, schedule interviews) Coordinate contests, team initiatives, and other internal programs Content & Brand Support Help script and film videos for social media (Instagram, LinkedIn) Organize footage, schedule posts, and track performance metrics Who You Are Highly organized, detail-oriented, and proactive Strong communicator who enjoys juggling multiple tasks Comfortable with Google Sheets, CRMs, and learning new systems quickly You enjoy structure but also like contributing ideas to improve how things run Prior experience in admin, coordination, partnerships, or growth/marketing support is a plus Compensation & Perks Base: $40,000 - $45,000 Performance Bonus: % of monthly revenue Project Bonuses: $ per completed SOP or partner onboarded Hybrid flexibility (in-office a few days per week in Montreal)
