We are seeking a highly detail-oriented and proactive Legal Administrative Assistant (LAA) to join the Employment & Labor Law team of our client, a global law firm. The successful candidate will provide comprehensive administrative support to one of the Partners, ensuring the smooth operation of our practice and delivering top-tier service to our clients.

Key Responsibilities:

  • Manage calendars, schedule appointments, and coordinate meetings and conferences
  • Prepare, format, and proofread legal documents, correspondence, and reports. Maintain and organize physical (and electronic) files.
  • Serve as a liaison between clients and lawyers, handling inquiries and relaying messages promptly and professionally.
  • Assist in the preparation and filing of legal documents, including pleadings, motions, and discovery materials. Track case deadlines and ensure timely submissions.
  • Conduct legal research and compile information to support in case preparation.
  • Assist with timekeeping, billing, and processing invoices. Maintain accurate records of billable hours and expenses. (50%)
  • Perform various administrative tasks, including answering phones, managing mail, and ordering office supplies.

Qualifications:

  • Completion of a recognized LAA or Accounting program considered an asset
  • Minimum of 3 years of experience as an LAA, preferably in litigation considered an asset
  • Strong attention to detail and punctuality is a must.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and legal practice management software.
