Job Summary The Assistant to the Executive Director provides general administrative support within the IACE Office, administrative assistance to the IACE Executive Director and Manager, support for committees the Executive Director and Manager participate in or lead, support high profile events hosted IACE and UVic, as well as human resources and financial administrative support. This position together with other IACE staff works as a team ensuring the sharing of relevant and timely information and engaging in informal team interactions and formal team meetings in order to contribute to coordination and team effectiveness. As with all IACE staff, the Assistant to the Executive Director participates in learning and professional development opportunities and contributes to knowledge exchange and quality improvement initiatives. Of critical importance to this position is an intimate knowledge of Indigenous ways of knowing and being. Cultural competency, including an in-depth understanding of colonization, decolonization, land issues, cultural protocols, and settler/Indigenous relationships is essential. Job Requirements Experience: This position requires a level of education, training, and experience equivalent to three years of experience working within a comparable environment. Knowledge/Skills/Abilities: Commitment to valuing diversity and contributing to an inclusive and respectful working and learning environment. Experience working within Indigenous communities/organizations Experience handling confidential and sensitive information Experience using financial systems for bookkeeping and financial administration Ability to communicate effectively with individuals from diverse backgrounds and tailor communication style for different audiences and situations. Ability to effectively support students, staff, faculty, general public, practicing discretion and utilizing good judgment while maintaining confidentiality Ability to work independently and within a team environment Experience with pre-planning and recording meetings. Strong organizational and time management skills with advanced attention to detail Flexible adapting to multiple and/or changing work priorities in a fast-paced environment High level of discretion in dealing with confidential and sensitive information. Knowledge of Indigenous nations' histories and protocols Knowledge of general office administrative operations including scheduling meetings and calendar coordination. Knowledge of financial services and accounting practices Familiarity with financial and administrative information systems Knowledge of MS Office, databases, financial services, payroll systems and file management software such as SharePoint or Connect Knowledge of local Coast Salish and BC nations histories and protocols would be an asset Specialized Knowledge/Education: Secondary school diploma or equivalent.
